Charging policy

In accordance with its constitution Bursledon & District Community Association aims to make its premises available to all. It therefore aims to keep charges for room hire to a minimum. Bursledon & District Community Association operates a range of discounts for room rental that allows the benefit of reduced rents for small charity groups whilst charging a competitive rate for larger commercial groups.

Regular Hirers; (Weekly term time) Users receive a discount on the standard rates and those using more than 20 hours per Month, will receive an additional discount. This reflects the reduced administration required for regular bookings. Bookings cancelled with less than 7 days notice must be paid for save for in exceptional circumstances.

Charities and Voluntary Groups may be given a community discount. This is to enable groups whose activities would benefit the local community (and in accordance with the Associations objects as set out in the Constitution) to use the centre and its facilities.

Local Residents living in the S031 8** area will also benefit from the community rate to enable them to benefit from their local community centre and its facilities.

Premium rate hire is applicable to all bookings during premium hours except in very exceptional circumstances which would need to be agreed by the board of trustees.

Current rates are reviewed on an annual basis and set out on the hiring charges sheet - 2022-23 rates are given below.

Invoices for room hire are payable within 40 days of receipt. Failure to comply will result in a penalty charge of 5% per month. Other than in very exceptional circumstances 14 days notice must be received of the intention to cancel any booking otherwise full payment will be charged.

Occasional/one of Hirers will be charged a deposit to reserve the room payable 14 days after the initial enquiry or before the date booked (whichever is sooner). Failure to pay the deposit will result in the booking becoming in-valid. A returnable deposit/guarantee charge is payable with the final booking against any damages to premises or equipment. This will be returned to the hirer within 14 days of the event provided that there are no damages and the room is left in a tidy state. Other than in very exceptional circumstances 14 days notice must be received of the intention to cancel any booking. Failure to do so will result in deposit being forfeited.
